Other Addnum websites or campuses may collect information under their own notices. Paper enrolment packs, indemnity forms and in-person admissions may also collect further details as described in those documents.
What we collect
We collect only what we need for the step you are taking:
- Visit requests: parent or guardian name, WhatsApp or mobile number, child’s age, intended starting year, preferred visit time, and optional email.
- Enrolment applications: learner details (including date of birth and, if provided, identity number); parent or guardian contact, address, employment and identity details; health and medical-aid information; emergency contacts; previous school details; fee-account details; photograph and video consent; and your typed name as a digital signature.
- Website technical data: the page you submitted from, date and time, and any advertising or campaign tags in the address bar (for example utm or click identifiers). We store those tags in your browser for the session so we can see which advert or link brought you here.
Supplying visit or enrolment details is voluntary. If you do not provide the information marked as required, we cannot arrange a visit or consider an application.
Why we use it
We use personal information to:
- arrange and confirm campus visits, and answer your questions;
- consider enrolment applications and follow up on documents, fees and next steps;
- contact you on WhatsApp, phone or email about that enquiry or application;
- keep a record of what you submitted, for admissions and school administration;
- understand which campaigns or pages led to an enquiry, so we can improve this site;
- meet legal duties that apply to independent schools in South Africa.
Under the Protection of Personal Information Act 4 of 2013 (POPIA), we rely on your consent where you tick the visit-form checkbox or choose photograph consent; on processing that is necessary to take steps at your request before a contract, and to perform an enrolment relationship if a place is offered; and on our legitimate interests in running a safe admissions process — provided those interests do not override your rights.
We do not sell personal information. We do not use automated decision-making to grant or refuse a place. Photograph and video use for school publications and marketing happens only if you choose “I consent” on the enrolment form.
Children’s information
This site is for parents and guardians. We process a child’s personal information only with a competent person — usually a parent or legal guardian — and only for visits, enrolment, care and school administration.
Health, medical-aid, religion, identity numbers and similar details are special or sensitive personal information. We ask for them only where they are needed to consider an application, keep a child safe, or meet a legal or operational duty. Please do not send extra medical or identity documents through this website unless admissions asks for them.
How long we keep it
We keep personal information only for as long as we need it for the purpose it was collected, or for longer where a law or dispute requires a record:
- visit requests — for the relevant enrolment cycle and a short period afterwards, unless you ask us to delete them sooner;
- enrolment applications — while we consider the application; if the child is enrolled, for the school relationship and the record-keeping periods that apply to independent schools;
- analytics identifiers — according to the settings of those providers.
We use HTTPS for this website. Access to submissions is limited to people who need it. No method of transmission or storage is perfectly secure. If a security compromise affecting your information must be reported under POPIA, we will follow that process.
Your rights
Subject to POPIA, you (or a competent person acting for a child) may:
- ask whether we hold personal information about you or your child;
- request a record of that information, and ask us to correct or delete it;
- withdraw consent where we rely on consent, including photograph consent;
- object to processing that is based on our legitimate interests;
- object to the use of your details for direct marketing;
- lodge a complaint with the Information Regulator.
Withdrawal of consent does not affect processing already completed lawfully. We may need to keep some records where the law requires it, or where we still need them to complete an application you have asked us to consider.
